Course Approvals due June 15 and Frequently Asked Questions (sent June 9, 2026)
This message was sent to all K–12 and County Offices of Education (COE) Course Approval Coordinators and Adult Education Directors.
Dear Adult Educators:
This is a reminder that initial 2026–27 Course Approvals are due to the California Department of Education (CDE) no later than June 15, 2026. Agencies have until March 31, 2027, to make revisions for courses offered in that year.
If you have already submitted your courses through the Course Approval System, you may disregard this reminder.
- How do I access the system? Login at Online Application and Reporting (OAR) Site
- How often should I update my Agency Contacts? Now is a good time! Plus, anytime someone on your Adult Education Course Approval team changes roles.
- Is an exemption for non-instruction available? Yes
- How do I get a login? Start with your agency’s OAR Admin. This person can set up new accounts for the Reporting Site. If you don’t know who that is, reach out to us at adulteducation@cde.ca.gov and complete the New Agency Request Form. This form provides the details required for user account creation.
- How many logins does my agency need? At least two people with separate email addresses will need access to the Course Approval System. The OAR Admin role can approve submissions and create new users. If you are the primary contact, this role may be a good fit for you. A second user must have an Approver role. This person can create or submit Course Approvals but does not manage user accounts for your agency.
- Can my California Adult Education Program (CAEP) Director have access to my agency’s Course Approval account? No. CAEP Directors may not have access to any consortium member accounts.
- How can I show my CAEP Director that CDE has approved our Course Approvals? You may download a copy of your approval letter to email them.
- I am still waiting on my District School Board and won’t have their approval by June 15, 2026, what should I do? Enter but do not submit your courses in the Course Approval System. Then email your CDE Regional Consultant to notify them of your situation. The due date will not be adjusted, but you can turn them in late with permission.
- Where can I find extra help? You can access additional materials, including a previously recorded webinar detailing the requirements and a walk-through of the software, on the Resources tab or via this YouTube Course Approval Webinar link.
